Auditor-Defined Comments

CONFIGURABLE FEATURE - This feature requires special configuration to be functional within the software. If you have additional questions not covered in the instructions below, please contact RizePoint Customer Service.

Auditors using Mobile Auditor PPC can now create custom comments to use during an audit. If it is known that specific comments will be used repeatedly during the course of an audit, then the auditor may define these comments before beginning the audit. The auditor then only needs to select the appropriate comment, rather than enter the note manually. All custom comments that are defined are available for every question on the audit form.

These comments are retained until the Mobile Auditor PPC application is closed. Therefore, these comments can be used on subsequent audits and on multiple audit forms, but only until the current session of Mobile Auditor PPC is terminated.

To enable this option, the configuration file assigned to the auditors using this feature must be properly configured. (NOTE: You may add the required configuration option to the user's existing configuration file, or you may create a new configuration file for the user.)

 

APPLICATION SETUP

To verify the configuration file assigned to the user:

  1. Log on as a user with administrative permissions.
  2. Go to System > Manage People > Users.
  3. Select the user from the list.

  4. At the bottom of the window, look at the CONFIGURATION assigned to this user.


  5. Click RETURN.

 

To enable the CUSTOM COMMENTS option:

  1. Go to System > System Setup > Mobile Auditor Configuration.
  2. Select the configuration of the Mobile Auditor PPC users who will be creating custom comments.

  3. Click the CONFIGURATION tab.

  4. Click the EDIT pencil beside the CUSTOM COMMENTS option.

  5. Check the box on the right.

  6. Click the UPDATE button to save the change.

NOTE: If you created a new application configuration, remember to go back to the appropriate User profile pages and assign this configuration to all users who will be using this feature.

 

 

MOBILE AUDITOR PPC

Custom comments are defined while an audit is in progress.

To create custom comments:

  1. Start a new audit, or open an existing audit.
  2. Once an audit is in progress, select CUSTOM COMMENTS (MENU)... from the Audit menu.
  3. In the Custom Comments dialog, enter a comment into the text field.

  4. Tap the ADD button. The comment is added to the list of predefined custom comments.
  5. You may add as many comments as you wish. When you're finished adding comments in this manner, tap the OK button. (NOTE: Be sure to tap the ADD button before tapping the OK button. If you tap OK before "adding" the comment, it will not be saved.)

NOTE: To remove a custom comment, tap the box beside the comment to select it, then tap the REMOVE button.

To use custom comments:

  1. To add a custom comment, select the NOTES button.

  2. From the Notes screen, tap the CUSTOM COMMENT button.

  3. Select the comment that applies to the current answer. You may select multiple comments. Note that you can also define additional custom comments from this window.

  4. Tap OK. The selected custom comments appear in the Notes screen.

  5. Tap OK to close the Notes screen.

When you view a summary of the audit (View menu > Audit > Summary), a pencil icon appears beside non-compliant questions that contain notes.
