Validate Audit Results (Incoming Audits)

 

When an audit is conducted and the results uploaded to the system, the audit results are validated before they are available for reporting purposes. Audit results that contain invalid or incorrect data are held until all invalid data has been corrected.

To view audit results, a user must have the following permissions:

When you select the VALIDATE AUDIT RESULTS command from the Audit menu, all invalid audit results on locations to which you have access appear in the Audit Result Validation screen.

To view a list of ALL invalid results, click the SHOW ALL button.* Clicking this button displays all invalid audit results, including audits on locations that are not associated with any user. Otherwise, if no user is associated with a location, the invalid data would not be available to any user and could never be corrected.

For example, perhaps an auditor enters the LOCATION NAME and ID manually, rather than selecting this data from a list. If the LOCATION ID does not correspond with the correct LOCATION NAME, validation fails when the audit results are uploaded, and the audit results are held in the Data Engine until the error is corrected.

When all invalid audit results are displayed, a SHOW MINE button becomes available. To switch back to view only audits conducted on locations to which you have access, click the SHOW MINE button.

You may use the search fields at the top of each column to assist you in locating a specific result. You may search on multiple fields at one time. Select the desired search criteria from one of more of the droplists, then click the GO button on the left. Only results matching the specified search criteria are displayed.

The visibility of the SHOW ALL button is optional. To have it enabled, contact your RizePoint Representative. (ref: JDDEngineFilter)

 

To correct the invalid data:

  1. Select an audit from the list. (Click on any of the links to select the audit.) The Incoming Audit Result screen opens and displays all invalid data in red.

  2. Click the corresponding SELECT link. A list of appropriate data is displayed from which you can select the correct, or valid, data. NOTE: Only users with the ALLOW AUDIT VALIDATION ADMINISTRATION permission have access to the SELECT button.

    IMPORTANT  If an audit form has been changed before audit results conducted on the form have been uploaded, the audit will be routed to the validation queue. When you click on the audit result, the Incoming Audit Result page will display a grid with the:
  3. Once all invalid data has been corrected, click the RETURN button.

 

To delete the results:

You may also delete the audit results from this screen.

  1. Select the checkbox beside the results you want to delete. A confirmation dialog box will ask you to
  2. Press the DELETE button. Click the DELETE button. You will be prompted via a confirmation dialog box to determine if you really want to delete the audit result(s). Click OK to confirm the deletion. If you click OK, the audit result(s) you selected will be removed from the list.  If you do not want to delete the audit result(s), click CANCEL.


       

If you want to prevent audits conducted on inactive audit forms from being automatically uploaded to the system, ask your RizePoint representative to enable the RESTRICT INACTIVE AUDIT VALIDATION option. When this option is enabled, the results conducted on inactive forms are held in the Data Engine. Then, if an administrator wants specific results uploaded, the form can be temporarily activated to push the results through the validation process. (ref: RestrictInactiveAuditValidation)
