Manual Re-Audit Type

NOTE: This is the only re-audit type allowed for audits conducted on Mobile Auditor PPC devices.

Because the setup process is quite complex and at times difficult to visualize, you may want to look at the Dynamic Question option to see if it better fits your needs. In most cases you will find it more versatile and easier to use. Also please note that the MANUAL re-audit type is not available when Dynamic Question functionality is enabled.

The MANUAL re-audit type allows an administrator to assign a re-audit type to every question, every audit category, and every answer choice on an audit form.

For example, you can set up the form and configure it so that if a question receives a non-compliant answer on an initial audit, the question will be asked again on a re-audit. On the re-audit, however, an entirely different set of answer choices will be available when the same question is asked the second time.

There are numerous scenarios on how and why you may want a form set up in a particular manner. The following tutorial will walk you through the process of setting up a simple form that includes a question that provides one set of answers on an initial audit, and a different set of answer choices on a re-audit.

 

APPLICATION SETUP

CREATE AN AUDIT FORM

  1. Go to Audit > Audit Setup > Audit Forms.
  2. Click NEW to create a new audit form.
  3. Provide a name and description, and mark the form as ACTIVE.
  4. Click SAVE AND RETURN.
  5. In the Setup Options window, click CONFIGURATION.
  6. Set the Re-Audit Type to MANUAL.
  7. Click OK to return to the Setup Options window.

 

ADD AN AUDIT CATEGORY

  1. Click AUDIT CATEGORIES.
  2. Click NEW to create a new category. The Audit Category screen opens.
  3. Enter an Audit Category NAME, then select BOTH as the Re-Audit Type.

    Selecting BOTH means that this audit category will appear during both the initial audit AND the re-audit. (However, depending on the re-audit types assigned to the questions and the answers they receive on an initial audit, it is possible that no questions in this audit category will appear on a re-audit, even though the type is set to BOTH here.)

    Notice the checkbox to the right of the RE-AUDIT drop-down list. Checking this box sets every EXISTING question and answer choice within this category to the same option as selected for the category. If, for example, you want all questions and answer choices to be set to RE-AUDIT, create your questions and answer choices first, then return to this screen and select RE-AUDIT from the drop-down list, and check the APPLY RE-AUDIT CHOICE TO AUDIT CATEGORY checkbox. All questions and answer choices within the category will then have RE-AUDIT as the re-audit type. (NOTE: The NON-COMPLIANT re-audit option is not available for answer choices. Therefore, if NON-COMPLIANT is selected for the category re-audit type and the checkbox is checked, all questions in the category will be set to NON-COMPLIANT, but the re-audit option for all answer choices in the category will be set to BOTH.)

    Keep in mind that re-audit types assigned to questions take precedence over the re-audit type assigned to the category. If you decide that one or two questions require a different audit type, you may change those re-audit types separately. For example, if all questions in an audit category are designated as AUDIT, and then you change one of those questions to RE-AUDIT, all questions except the one designated as RE-AUDIT, will appear in the initial audit. Then, even though the category was designated as AUDIT, the question designated as RE-AUDIT will appear on a re-audit. However, none of the other questions in that category will appear during the re-audit.

    NOTE: The BOTH option is selected by default for all audit categories, questions, and answer choices.

  4. Click CONTINUE.

 

ADD A QUESTION

  1. Click NEW. A new screen opens that allows you to define the question.
  2. Enter "FLOOR COVERINGS IN GOOD CONDITION?" in the question text field.
  3. Select RADIO from the Type drop-down list.
  4. Check REQUIRED.
  5. From the Re-Audit Type drop-down list, select NON-COMPLIANT.

    Selecting NON-COMPLIANT means that if this question receives a non-compliant answer on the initial audit, it will appear again on the re-audit. Otherwise, it will not appear at all. The previous answer to this question will be displayed.

    Selecting NON-COMPLIANT W/O ANSWER means that if this question receives a non-compliant answer on the initial audit, it will appear again on the re-audit, but the previous answer to this question will not be displayed.

    If instead you select AUDIT, then this question will only appear on the initial audit. It will not appear on a re-audit, regardless of the Audit Category re-audit option selected. Even if the audit category is set to BOTH, this question will only appear on the initial audit.

    If you select BOTH, this question will appear on the initial audit and on any subsequent re-audits. Even if the category is set to RE-AUDIT, for example, this question will appear on both the initial audit and on any re-audits. The previous answer to this question will be displayed on a re-audit.

    If you select BOTH W/O ANSWER, this question will appear on the initial audit and on any subsequent re-audits. However, the previous answer to this question will not be displayed on a re-audit.

    RE-AUDIT - This question will only appear on a re-audit. It will not appear on the initial audit.

    For this example, however, select NON-COMPLIANT.

  6. Click CONTINUE.
  7. Select DROP LIST from the Re-Audit Type drop-down list.

    Only audits conducted on Mobile Auditor PPC devices are affected by this choice, and only if the original question type was either RADIO or DROP-LIST. This is because screen space is limited on these devices, and text that fits in a drop-list may not fit on a radio button; therefore, you can switch from one type to the other (RADIO to DROP-LIST, or DROP-LIST to RADIO). All other question types are unaffected by this selection.

  8. Click CONTINUE.

 

ADD THE ANSWER CHOICES FOR THE INITIAL AUDIT

  1. Click the NEW button. The New Choice screen opens.
  2. Enter "YES" in the Answer Text field.
  3. Select CORRECT from the Correct Choice drop-down list.
  4. From the Re-Audit drop-down list, select AUDIT. This answer choice will only appear on the initial audit.

    Note that the option selected here determines when this answer choice will be available IF the question is presented, either on the original audit or on the re-audit. For example, you may designate the re-audit type for an answer choice as RE-AUDIT, but if the question itself was designated as AUDIT, then the question will not be asked on a re-audit. Therefore simply specifying that this answer choice will appear on a RE-AUDIT will not force the question to appear on a re-audit.

    Also, be careful to ensure that the appropriate answer choices are available in all conditions. For example, if only two answer choices are available, YES and NO, and the answer choice YES is designated as RE-AUDIT, then YES will not be available during the initial audit. NO will be the only answer available. You'll want to avoid situations where only one answer choice is available.

  5. Click SAVE & RETURN.
  6. To add the second choice, click NEW. A blank New Choice screen opens.
  7. Enter "NO" in the Answer Text field.
  8. Select INCORRECT from the Correct Choice drop-down list.
  9. Select AUDIT from the Re-Audit drop-down list.
  10. Click SAVE & RETURN.

 

ADD THE ANSWER CHOICES FOR THE RE-AUDIT

  1. Click the NEW button to open the New Choice screen.
  2. Enter "CONDITION CORRECTED" in the Answer Text field.
  3. Select CORRECT from the Correct Choice drop-down list.
  4. Select RE-AUDIT from the Re-Audit drop-down list. This answer choice will only appear on the re-audit.
  5. Click OK.
  6. Click NEW to open the New Choice screen to add another answer choice.
  7. Enter "UNCORRECTED" in the Answer Text field.
  8. Select INCORRECT from the Correct Choice drop-down list.
  9. Select RE-AUDIT from the Re-Audit drop-down list.
  10. Click SAVE & RETURN to return to the Definitions screen.

 

During the initial audit, the question FLOOR COVERINGS IN GOOD CONDITION provides two RADIO answer choices: YES and NO.

If the answer selected on the initial audit is NO, then the same question appears on the re-audit. This time the answer choices are CONDITION CORRECTED and UNCORRECTED.

If the answer selected is YES, then the question will not appear on a re-audit, even though BOTH was selected as the audit category re-audit option. This is because the question re-audit option NON-COMPLIANT takes precedence over the audit category re-audit option BOTH.

 

NOTE: If the audit is being conducted on a PPC device, the answer choices during the re-audit are presented in a drop list instead of appearing on radio buttons.
