Defining Report Categories

To access Report Categories:

  1. Click on the audit form to select it.
  2. Select REPORT CATEGORIES.

Before you begin, you'll want to think about what types of information you want to include in your reports. You can set up Report Categories and Report Subcategories, assign questions to them, and create reports based on these report categories. (NOTE: Report Subcategories were referred to as Areas to Address in previous versions of RizePoint.)

You may want to create the report categories and subcategories before you define the questions so that you can assign the questions to the appropriate report category or subcategory at the time you define the question.

Report categories are different from audit categories. For example, your audit form may contain questions in the audit categories named Guest Room, Lobby, Hallway, and Grounds. But you may want to generate reports based on Safety or Appearance issues. The question "Is sufficient lighting provided?" in any of these audit categories may be assigned to the report category of Safety. You could then generate reports that include all non-compliant answers to questions from any category that have been assigned to the report category of Safety.

In the example below, questions in the Soup & Salad Bar audit category are associated with the appropriate report subcategory. An administrator can now generate either a report of all non-compliant questions by Audit Category, or a report of all non-compliant questions by Report Category. Note that question #5 is not associated with any report category. If a question is not associated with a report category, then that question will not be included in reports based on report categories. However, it will still be included in reports based on audit categories.

When you select REPORT CATEGORIES, a list of all report categories defined for this audit form is displayed.

RETURN button - returns you to the previous page.

NEW button - allows you to create a new report category.*

IMPORT button - allows you to copy a report category from another audit form.*

ARCHIVES button - allows you to view a list of any report categories that have been previously deleted. When a report category is deleted, it is placed in an Archive folder. To restore a previously deleted report category, click the ARCHIVE button, then check the box on the far right of the report category(s) that you want to restore. When you click the RESTORE button, all selected report categories are restored.

DELETE - allows you to delete an existing report category.*

CHECKBOX - allows you to select a report category. Click on the checkbox at the top of the column to select all report categories; click on it again to deselect all report categories.

EDIT - allows you to edit the name of the report category. Click the Edit icon to change the name of the report category.

ORDER - allows you to specify the order in which report categories appear in reports and elsewhere within the application.

REPORT CATEGORY ID - displays the ID assigned to the report category.

REPORT CATEGORY - displays the name of the report category.

*You may not add, delete or edit report categories once audit results from an audit conducted on this audit form have been uploaded to the system.
